HFX is an independent non-governmental organization based in Washington, DC dedicated to strengthening strategic cooperation among the world’s democracies.  HFX’s flagship program is its annual Halifax International Security Forum. This dynamic 3-day event brings leaders from over 70 countries to Nova Scotia and is recognized as the world’s most consequential meeting on democracy and global affairs.

Position Summary – Program Associate

The Program Associate is responsible for assisting the coordination, development and management of internal and external HFX meetings, including the annual Halifax International Security Forum.

The Program Associate works with and reports directly to the Program Manager.  The Program Associate is the primary point of contact for event participants and assists with the invitation, registration and travel arrangement processes.

HFX is looking for individuals who are curious and eager to learn, who enjoy thinking through situations from all sides and who appreciate the value of working with others to improve the quality of their work.

As a member of a growing organization, the Program Associate will have opportunities to learn about global security issues, connect with like-minded organizations in Washington, DC and contribute to other organizational initiatives as needed.

Responsibilities

  • Serve as the main point of contact for international military leaders, diplomats, and other conference attendees; developing relationships and coordinating all aspects of attendee logistics and participation;
  • Research information about potential conference participants and speakers;
  • Send and track invitations to the annual conference;
  • Ensure quality control of the organization’s database by maintaining clean and consistent data;
  • Assist in the drafting of language for email campaigns, written correspondence and other communications;
  • Follow current events related to the international security agenda;
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree or an acceptable combination of education, training and/or relevant experience;
  • Ability to demonstrate a real commitment to the organization’s mission;
  • Excellent research, writing and editing skills;
  • Strong organizational skills with serious attention to fine detail;
  • Ability to problem-solve, manage multiple tasks simultaneously, and effectively prioritize without supervision;
  • Strong interpersonal skills including being able to interact with people from different cultures;
  • Ability to work well both independently and as a member of a team;
  • Strong skills with Microsoft Office Suite, most importantly Microsoft Excel;
  • Event management and data entry experience a plus.
